A Simple Wedding Photo Sharing Plan: Before, During and After the Day

Your photographer tells one story of the day. Your guests see dozens more. A good collection plan gives those photos somewhere to go without turning your wedding into a technology project.

Before you choose a photo-sharing service

Try the guest experience on your own phone. Count the steps from scanning to selecting a photo. Check whether guests need an account, whether videos are supported, where the originals are stored, and what happens after an upload or storage deadline.

Different services solve different problems. A live photo wall can be useful if you want guest photos displayed during the reception. A private collection may suit you better if you want to review everything first. If your files land in your own Google Drive, check your available storage rather than assuming that “unlimited guests” means unlimited storage space.

Two weeks before: make a small test feel like the real thing

1. Connect the Google account where you want your wedding folder to live.
2. Check that the account has room for the photos and videos you expect.
3. Activate your wedding and download your actual QR code or table card.
4. Print one card at the size you intend to use.
5. Scan the printed card using a different phone, select an ordinary test photo, and confirm it appears in the correct Drive folder.
6. Try the link using mobile data as well as your home Wi-Fi.

A sample card is for trying the design. Its QR code opens the demo. Print the real card from your paid wedding dashboard for the event.

Keep the QR square unobstructed, use strong contrast, and leave clear space around it. Avoid placing it across a fold or on a highly reflective surface. Test the physical card again after printing; a preview on a bright screen is not the same as a table in evening light.

On the day: one invitation, a few visible reminders

Place cards where guests naturally pause: at dinner tables, near the guestbook, or beside a welcome sign. Use a short instruction such as “Scan to share your photos and videos.” Add the direct link to a message or wedding website for people who prefer tapping to scanning.

Ask one trusted person to check that the link works at the venue. An internet connection is required. If reception is poor, guests can keep their photos and upload when they have a better connection.

A few gentle prompts can help: a photo of your table, a moment that made you laugh, or someone you were happy to see. Invite participation without asking guests to spend the celebration on their phones.

After the day: collect, review, then share

Send one friendly reminder with the upload link. Review the collection before sharing it more widely. An upload link and a viewing link serve different purposes: WeddingQR’s guest link lets people contribute, while Google Drive sharing settings control who can view the folder.

The photos remain in your Drive until you remove them. Keep originals, download a backup if you want one, and be considerate about sharing images of guests and children.
